10 Essentials of Caravan Travel
From authorization to arrival, every member from Onyx level through Diamond level is expected to know and follow these procedures.
Authorization
Caravan travel requires advance written approval from the National President or a designated Executive Committee member, at least 48 hours before departure. Unauthorized caravans are not covered under fraternity travel procedures.
The Lead Vehicle
Every caravan needs a designated lead vehicle operated by an experienced member in good standing. The lead driver confirms the route, briefs all drivers, exchanges contact numbers, and sets a safe, legal pace.
Assembly & Departure
All vehicles must arrive at the assembly point at least 15 minutes before departure for attendance, a quick vehicle check, and a route briefing. No vehicle departs until everyone is accounted for.
Communication Protocol
Every vehicle stays in contact with the lead vehicle via hands-free phone or two-way radio — with check-ins at pre-departure, every rest stop, any incident, and on arrival.
Member Accountability
The organizing officer keeps a travel manifest of every member, vehicle, and driver contact. Headcount is verified before departure, at every rest stop, and on arrival. No brother is left unaccounted for.
Convoy Maneuvers
Lane changes, turns, highway entry/exit, and parking are executed as a disciplined unit — announced by the lead driver and completed in sequence, never all at once.
If Separated
Stay calm, never attempt high-speed maneuvers to catch up. Contact the lead driver with your location, then pull off safely and wait for guidance. The convoy will wait — safety first, always.
Incident Reporting
Ensure safety first and call 911 if needed. Notify the National President within 24 hours, then submit a full written report to the Executive Committee within 72 hours.
Non-Negotiable Safety Standards
